Minutes Required for Signature Changes at a Bank
 
Approve Changes in a Board or Committee MeetingMost financial institutions require formal Minutes authorizing the change. Ensure the change is approved by the appropriate governing body (e.g., board of directors, executive committee) and recorded in the meeting minutes. The minutes should include:
  • Date of the meeting
  • Motion made and approved to change signers
  • Full names and roles of those being removed
  • Full names and roles of those being added
  • Name of the account(s) affected and the last 4-digits of the account number
Tip: Use language like:
"Motion to remove Jane Doe and John Smith as authorized signers on the “Name of the account, and the last 4-digits of the account number”and to add Mary Johnson (Treasurer) and Tom Brown (President) as the new authorized signers."
