A club visit by a District Board member is one of the most important personal services our District provides to its clubs.

Club visits are an opportunity to inspire members, recognize individual and club achievements, celebrate community service, evaluate club operations, share helpful resources, answer questions, and strengthen the connection between your club, District Nine, and Altrusa International.

Our goal is simple: to make every club visit valuable, encouraging, and meaningful for your members.

 

Preparing for Your Club Visit

1. Schedule Your Club Visit

Contact your Club Liaison to schedule your visit.

Please use the Member Directory Search to find your Liaison's contact information.

Selecting the Right Meeting for Your District Visit

When selecting the date for your official District Visit, please choose a meeting that allows dedicated time for your District Liaison to present to your club.

To make the most of the visit:

  • Plan sufficient time for your Liaison's presentation and interaction with club members.
  • Avoid scheduling another guest speaker or major program at the same meeting as your District Liaison's visit. The District Visit is an important opportunity for your members to connect directly with District Nine and should have the attention it deserves.
  • Make your Liaison feel welcome! Please provide appropriate hospitality for your visitor, including greeting them upon arrival, assisting with parking or building access as needed, introducing them to members, and including them in any meal or social time associated with the meeting.
  • Most importantly, make your District Liaison part of the meeting—not simply a speaker on the agenda. This is an opportunity for your club to build a relationship with a District leader and make the most of the resources and support available to you.

A little planning and hospitality can turn a required visit into a meaningful Altrusa connection.

Before the visit:

  • Invite your Liaison to attend a Board Meeting PRIOR to the scheduled Club Visit (preferably via a digital platform like Zoom). This gives your Liaison an opportunity to become familiar with your club's leadership, priorities, and any questions or concerns you may want to address.
  • Share all details about the Club Visit with your Liaison.
  • Be sure to provide:
    • Meeting date and time
    • Meeting address and building name
    • Parking information
    • Building/access instructions
    • Your contact information
    • Whether food will be provided
    • Any cost associated with the visit
    • Amount of time available for the District presentation
    • Any other information your Liaison should know to make the visit successful

 

2. Complete the Club Visit Survey

Complete the Club Pre-Visit Survey and send it to your Club Liaison no later than 30 days PRIOR to the scheduled visit.

The survey helps your District representative understand your club before arriving and allows the visit to be tailored to your club's needs, interests, accomplishments, and goals.

 

3. Enjoy Your Club Visit!

This is your opportunity to connect with District Nine!

Come ready to:

  • Celebrate your club's accomplishments.
  • Share your service successes.
  • Ask questions.
  • Discuss challenges or opportunities.
  • Discover resources available to your club.
  • Share ideas and best practices.
  • Learn more about what is happening throughout District Nine and Altrusa International.

And remember—you can contact your Liaison anytime, not just when a Club Visit is scheduled.

4. Complete the Club Visit Evaluation

After your Club Visit, please complete the Club Visit Evaluation online. Your feedback helps District Nine continually improve the Club Visit experience and better serve our clubs.

5. Receive Your Club Visit Summary

Following the visit, your District Board member will complete and return a Club Visit Summary Report to your club.

This provides your club with a record of the visit, including highlights, resources, recommendations, and follow-up items.
